How to calculate hours worked

  1. For each day, subtract the start time from the end time. 8:30 AM to 5:15 PM is 8 hours 45 minutes.
  2. Subtract unpaid breaks. With a 30-minute lunch, that day becomes 8 hours 15 minutes.
  3. Add up every day of the week, then convert to decimal hours for payroll (8 h 15 m = 8.25 hours).

Shifts that end after midnight are handled automatically: if the end time is earlier than the start time, it is treated as the next morning.

Overtime

In the United States, the Fair Labor Standards Act generally requires overtime at 1.5× the regular rate for hours over 40 in a workweek for non-exempt employees. Some states (such as California) also have daily overtime rules. Set the threshold and multiplier above to match your situation. This tool gives an estimate of gross pay before taxes and deductions; for take-home pay, check your payslip or employer.

Who uses a time card calculator?

Hourly employees checking their paycheck, freelancers billing clients by the hour, small business owners doing payroll, and anyone tracking time spent on a project.
